Data protection

This is a complete translation of the German legal information. If interpretations differ, the German version is authoritative.

Germany
E-mail: post@artopia.de

2. Current functionality

The website provides information about the new structure of ARTOPIA and the planned platform. There are currently no search, registration, user accounts, technically connected contact forms, newsletters, comment functions or payment processing. Contact can only be made via the visible email link.

3. Hosting and server log files

When you access a published website, the hosting provider processes technically necessary access data. This may include IP address, date and time, file requested, amount of data transferred, browser type, operating system, referrer URL and hostname. This serves delivery, stability, error analysis and protection against misuse.

The infrastructure also used for other operator sites will be used for the intended publication:

webhoster.de AG
To Haunert 22
59519 Möhnesee
Germany

The legal basis is Article 6 Paragraph 1 Letter f GDPR. The legitimate interest lies in safe, stable and technically error-free operation. If necessary, a contract for order processing will be concluded in accordance with Art. 28 GDPR.

4. Cookies, local storage and analysis

The current version does not use unnecessary cookies, does not use web analysis, advertising pixels and user tracking. No user input is collected or stored locally on the website. No consent banner is required for this range of functions.

If technologies that require consent are added later, they will only be loaded after effective consent. The purpose, provider, storage period and revocation option are then described transparently.

5. Local writings and media

Logos and scripts are loaded from your own website; the typography uses locally available system fonts. There are currently no embedded maps, videos, social media plugins or external font services that send data to third parties when the page is accessed.

6. Contact via email

If you contact us via email, the information provided will be processed to process the request and possible follow-up questions. The legal basis is Article 6 Paragraph 1 Letter b GDPR for pre-contractual or contractual communication and otherwise Article 6 Paragraph 1 Letter f GDPR.

7. Historical archive material

In addition to the original ARTOPIA brand motifs, the website shows a small selection of historical event recordings from the former public ARTOPIA archive. The images are classified in time and place, but deliberately without identifying the artists or visitors depicted by name. Further material will be checked for rights, event context, recognizability and legitimate interests before publication.

Persons depicted, rights holders or former contributors can request an inspection, correction, removal or obscuration as well as questions about the archive post@artopia.de initiate.

8. Scheduled profiles, applications and bookings

With the later platform operation - depending on the functions actually activated - the following data can be processed:

  • Registration, contact and account details
  • public profile information, images, videos, works, references and technical requirements
  • Availability, locations, fees, offers and applications
  • Messages, favorites, booking and contract status
  • Reviews after collaboration has actually taken place
  • Security, evidence and consent protocols
  • Billing and payment status, if applicable, but no unnecessary storage of complete payment data

Before activation, the purpose, mandatory fields, legal basis, recipients, storage periods, payment service providers and technical infrastructure are specifically stated. Public profiles only become visible after a conscious act of publication.

9. Consent before CRM and sharing

A contact request is not transferred to a CRM based solely on a profile visit or a local search. A CRM system, regular contact or disclosure to artists, organizers, partners or service providers only takes place if this is necessary for an expressly requested service or if appropriate consent has been given.

10. Reviews, Moderation and Reports

In later reviews and reports, content, participants, booking reference, time and processing status can be processed. This data is used to build trust, prevent misuse, check reported content and make understandable moderation decisions. Automated hints can support the examination; stressful decisions should remain humanly verifiable.

11. Recipients, third country transfers and processors

Data will only be passed on if this is necessary for hosting, communication, contract fulfillment, payment, security, legal enforcement or an expressly requested mediation. Specific providers and possible third-country transfers are named and legally checked before they are integrated.

12. Storage period

Data is only stored for as long as the respective purpose, legal retention requirements, proof of consent or legitimate interests in documentation and legal defense require it. Accounts and published profiles must be able to be deleted or deactivated later; Contract data that must be kept by law may be excluded from this.
